AI/AI Agent

Ask for the work. Approve the plan. Done.

AI Agent takes a request in plain words, works out the steps across your tools, and does them: covering a call-out, filing time off, assigning the fix for a failed checklist, approving clean timesheets. It shows the plan before anything changes, works only with the permissions of the person asking, and records every step so it can be checked or undone. Company Bot answers questions. AI Agent gets things done.

Plans first, acts second

Every request comes back as a plan with each step spelled out: the people, the shifts, the records it will touch. Nothing changes and nothing is sent until you approve it.

Your permissions, nothing more

The agent can only do what the person asking could do themselves. Admins choose which kinds of actions it may take at all, and which always wait for a person.

Every step on the record

Each change is logged as done by AI Agent for the person who asked, in the tool it happened in, with Undo where the tool allows it.

Shift coverage

A call-out at 5:40. Covered by 5:50.

Luis messages that he is sick. The agent files his sick time, finds who can take his 6:30 at Riverside Plaza, asks them one at a time, and puts the first yes on the schedule. The manager wakes up to one line: Dana is covering Luis's 6:30 at Riverside.

What the agent does

The texting, the waiting, and the schedule change, done for you.

  • Picks up a call-out from Team Chat, a sick day in Time Off, or a shift that started with nobody clocked in
  • Files the sick time for the person who called out
  • Finds the people who can take the shift without breaking a rule
  • Asks them in your order, one at a time or a few at once
  • Puts the first yes on the schedule and tells the others it is filled
  • Tells the manager who is covering, in one line

What you control

Your rules for who gets asked, and when it comes back to you.

  • Who is asked first: fewest hours this week, a list you keep, or everyone at once
  • How long each person has to answer
  • A deadline after which the manager takes over, with every answer so far
  • Whether overtime is allowed, and how much
  • Which positions and locations it may cover on its own
  • On for one location before the rest

Who it asks

Only people who could take the shift without breaking a rule.

  • Same position
  • Same location
  • Available that day
  • Rested since their last shift
  • Under their hours
  • Certified when the shift needs it

How it asks

Where people will see it, with the shift spelled out.

  • A push notification
  • Team Chat
  • Yes or no in one tap
  • In their own language
  • A reminder before the deadline

When nobody says yes

The manager gets the problem with everything needed to solve it.

  • A note to the manager
  • Who was asked and what they said
  • Open the shift to everyone
  • Offer overtime, with approval

Across every hub

Work that used to wait for a person.

Self-service for employees, follow-through between the hubs, a Monday brief for managers, onboarding that runs itself, and paperwork read from a photo.

Does it, not just answers

Ask Company Bot how to request time off and it answers. Say “Request Friday off for me” and AI Agent files it once you confirm. The same goes for offering a shift, swapping one, or reporting an injury.

From a form to a fix

A voice form says the east stairwell light is out. The agent opens a board item, assigns it to Maintenance, and checks back until it is closed.

Certifications kept current

A forklift certification runs out in 30 days. The agent assigns the refresher course and keeps Marcus off forklift shifts until he passes it.

A Monday brief for managers

Overtime climbing at Harbor, late clock-ins on Tuesdays, two missed closing checklists. Each comes with a fix to approve in one tap.

Onboarding that runs itself

An offer accepted in Vantage Recruiter becomes a profile, documents to sign, training, and shadow shifts, with nudges until every step is done.

Paperwork read from a photo

Marcus takes a photo of his renewed license. The agent reads the name, number, and expiry date, files it in Documents, and updates his certification.

AI Agent

What you can do.

The details that make AI Agent work for your team.

  • Requests typed or spoken, in the language the person uses, on the phone and the web
  • A step-by-step plan to approve, change, or cancel before anything happens
  • Shift coverage: finds the people who can take a shift, asks them in order, and puts the first yes on the schedule
  • Escalates to the manager with who was asked and what they said when nobody says yes by the deadline
  • Does things for employees: request time off, offer or swap a shift, report an injury, once they confirm
  • Sends private changes, such as bank details, to the secure form instead of taking them in chat
  • Turns a failed checklist item or a voice form into a board item, assigns it, and checks it is closed
  • Assigns the refresher course before a certification runs out, and keeps the person off shifts that need it until it is done
  • Reads photos and PDFs: a renewed license is read for its expiry date and filed in Documents
  • A Monday brief for each manager on overtime, late clock-ins, missed checklists, and unanswered questions, with fixes to approve in one tap
  • Groups the questions Company Bot could not answer into the articles your Knowledge Base is missing, with a draft of each
  • Onboarding from an accepted Vantage Recruiter offer: profile, documents to sign, training, and shadow shifts, with nudges
  • Approves timesheets and time off that meet the rules, and holds the rest with the reason
  • Sorts Support requests to the right desk with a suggested first reply
  • Sums up survey comments into themes and the actions they point to
  • Drafts, translates, and sends announcements and reminders to the right people
  • Drafts a procedure in Docs from a few lines, and fills a sheet from form answers
  • Routines: requests that run again daily, weekly, or monthly
  • Only the actions the person asking is allowed to take
  • Admins choose which actions the agent may take, and which always need approval
  • Every action logged with who asked, and Undo where the tool allows it

AI Agent questions.

How is AI Agent different from Company Bot?

Company Bot answers questions from your policies and pages. AI Agent does work: it covers shifts, files requests, assigns tasks, and sends messages for you, after you approve the plan. When someone asks Company Bot to do something rather than explain it, the agent takes over. Both come with the AI add-on.

Is it for managers or for everyone?

Both. Employees use it for their own things, like requesting a day off or offering a shift. Managers use it for their team. Everyone gets only the actions their role already allows.

Can it do something I am not allowed to do?

No. The agent acts as the person who asked, with the same permissions. An employee's agent cannot approve timesheets, and a manager's agent works only with the people and places that manager already can.

Does it act without asking?

Not by default. Every request shows its plan first. An admin can let routine actions, such as shift coverage or a reminder, run on their own, and can require approval for anything that touches pay, hours, or the schedule.

Can it read photos and voice?

Yes. Speak a request instead of typing it, or attach a photo or a PDF, such as a renewed license or a supplier's invoice, and the agent reads what it needs from it.

What if it gets a step wrong?

Change the step or drop it before you approve. After a step runs, it shows in that tool's history as done by AI Agent, and most steps can be undone from there.

Is it included in the AI add-on?

Yes. AI Agent is part of the AI add-on, with Company Bot and every other AI tool, at the same price per person.
