This policy explains what information Vantage Workforce collects, how we use it, and the choices you have. We have tried to keep it plain.
1. Who this policy covers
This policy applies to people who visit our website and to people who use the Vantage Workforce apps on the web, iPhone, and Android.
Most people use Vantage Workforce because their employer has set up a workspace and invited them. In that case the employer decides what information is collected in the workspace and how it is used, and we handle that information on the employer's behalf. Questions about workspace data are usually best directed to your employer first.
2. Information we collect
We collect the following kinds of information.
- Account details. Your name, email address, and password. Passwords are stored in a protected form that we cannot read.
- Workspace content. What you and your employer add to a workspace, such as schedules, time entries, form submissions, tasks, messages, announcements, documents, training progress, time off requests, and profile details like job title and department.
- Location. When you clock in or out, or submit a form that asks for it, the app records your location at that moment. The app asks for your permission first.
- Photos and files. Images and documents you choose to attach to forms, tasks, and messages.
- Device and usage information. The type of device and browser you use, notification tokens so we can send you alerts, and logs of how the service is used, which help us keep it reliable and secure.
- Billing details. For paid workspaces, the billing contact and plan. Card details are collected and stored by our payment processor, not by us.
- Messages you send us. What you submit through our contact form or send to us by email.
3. How we use information
- To provide the service, including showing schedules, recording hours, and delivering messages.
- To send notifications about shifts, approvals, announcements, and account activity.
- To keep the service secure, prevent misuse, and investigate problems.
- To bill workspaces on paid plans.
- To respond to questions and requests for support.
- To understand how the service is used so we can improve it.
4. Who we share it with
We do not sell personal information. We share it only in these cases.
- Within your workspace. Information is visible to other members of your workspace according to their role. For example, managers can see the hours of people on their team.
- Service providers. Companies that help us run the service, including cloud hosting, payment processing, email delivery, and search. They may use the information only to provide their service to us.
- Legal reasons. When we are required to by law, or when it is necessary to protect the rights and safety of our users or the public.
- Business changes. If the business is merged, acquired, or sold, information may be transferred as part of that transaction.
5. How long we keep it
We keep workspace information for as long as the workspace is active. When a workspace is closed, we delete or anonymize its information within a reasonable period, unless we are required to keep it longer by law. Employers may have their own record-keeping obligations for things like hours worked.
6. How we protect it
Information is encrypted in transit and at rest. Each workspace is isolated from every other, and access within a workspace is limited by role. You can read more on our security page. No system is perfectly secure, so we cannot promise that information will never be accessed without permission.
7. Your choices
- You can view and update your profile details in the app.
- You can turn notifications and location access on or off in your device settings. Some features, such as clocking in with a location, need those permissions to work.
- Depending on where you live, you may have the right to request a copy of your information, to have it corrected, or to have it deleted.
If your account belongs to an employer's workspace, we may need to pass your request to your employer, since they control that information.
8. Children
Vantage Workforce is a workplace tool and is not intended for children under 16. We do not knowingly collect information from them.
9. Changes to this policy
We may update this policy from time to time. When we make a significant change, we will let workspace owners know and update the date at the top of this page.
