HR/Employee Profiles

Everything about an employee in one place.

Role, department, manager, locations, start date, and pay rate sit in a single profile. It connects to their schedule, hours, documents, and training.

One source of truth

Stop keeping a spreadsheet next to your payroll system next to a filing cabinet. The profile is the record.

Four clear roles

Owner, admin, manager, and employee. Each role sees and does what it should, and nothing more.

Linked to the work

From a profile you can reach that person's shifts, timesheets, documents, and courses.

One record, everywhere it is needed.

Change it once. It follows through.

Update a person's title, manager, or location and their schedule, the org chart, and their permissions change with it. Employees keep their own contact details current from the phone. Pay stays with the people who should see it.

For admins and HR

The record behind every other tool, kept in one place.

  • Job title, department, manager, locations, start date, and employee ID
  • Pay rate with an effective date, visible to owners and admins only
  • Owner, admin, manager, or employee, and what each can see
  • Invite by email, suspend, and reactivate without losing the record
  • Your own fields, including dates that expire
  • A history of every change, with who made it and when

For the employee

Their own details, and their own work, on the phone.

  • Phone, address, and emergency contact they keep up to date themselves
  • Job, pay, and role shown but locked
  • Their hours, documents, training, and time off, one tap away
  • Coworkers see their name, title, and location, and nothing else

On a profile

The fields every other tool reads from.

  • Job title
  • Department
  • Manager
  • Locations
  • Start date
  • Employee ID
  • Role
  • Pay rate
  • Contact details
  • Emergency contact
  • Your own fields

Tabs

The person's work, filtered to them.

  • Overview
  • Hours
  • Documents
  • Training
  • Time off

Statuses

Where a person is with you.

  • Invited
  • Active
  • Suspended

Moments in a profile

The record behind every other tool.

Four roles, private pay, the work linked to a person, statuses over time, a change that follows through, and your own fields.

Four roles

Owner, admin, manager, and employee. A manager only sees the people and locations they manage. Only owners and admins see pay.

Who sees what

A coworker sees a name, a title, and a location. A manager also sees contact details. Pay is for owners and admins.

Linked to the work

A person's shifts, hours, documents, training, and time off sit on their profile, each one a tap from the tool it comes from.

Invited, active, suspended

Invite by email. Suspend when someone leaves and the record, hours, and documents stay. Reactivate on the same record when they come back.

A change that follows through

Change who someone reports to and the org chart, their time-off requests, and their schedule approvals follow. Every change is logged.

Your own fields

Shirt size, languages, licenses, vehicles. Text, number, date, yes or no, or a list. A date can expire and warn you first.

Employee Profiles questions.

Who can see pay rates?

Sensitive fields such as pay rate are limited to the roles that need them. Employees do not see each other's pay.

Can employees edit their own profile?

Their own phone, address, and emergency contact, from the phone. Job title, pay, role, and locations are changed by admins, and every change is logged.

What happens when someone leaves?

Suspend them. They can no longer sign in, and their record, hours, documents, and training stay for your records. If they come back, reactivate the same record.

Can we add our own fields?

Yes. Text, number, date, yes or no, or a list of options. A date field can expire, so a license or certificate warns you before it runs out.

Can we import our people?

Yes. Import from a spreadsheet to get started, and export the list whenever you need it.
