HR/Documents

Employee paperwork, filed and tracked.

Store offer letters, contracts, policies, IDs, and tax forms against each employee. Track what has been signed and what is about to expire.

Filed by person

Each document belongs to an employee and a category, so you find it in seconds when someone asks.

Expiry dates you will not miss

Licenses and certifications carry an expiry date. You see what is coming due before it lapses.

Private by default

Employees see their own documents. HR and admins see what their role allows.

Signed on the phone. Filed by person.

Nothing lapses. Nothing unsigned.

Send a policy and watch the signatures come in. Licenses and certificates carry expiry dates, so the person and HR hear about them before they run out, and a renewed one is uploaded from the phone and approved in a tap.

For HR and admins

Every document filed to a person, with a date on everything.

  • Send a policy or contract for signature to a person, a team, or a location
  • See who has signed and who has not, and remind them
  • Expiry dates with reminders 30, 14, and 1 days before
  • Approve a renewed license uploaded from the phone
  • A new version of a policy asks everyone to sign again, and keeps the old signatures
  • A report of who holds a certification, and an export for the auditor

For the employee

Their own file, in their pocket.

  • A notification when something needs a signature
  • Read and sign on the phone, in about two minutes
  • A signed copy filed to them with the date
  • A reminder before a license or certificate expires
  • Upload the renewed one with the camera
  • Nobody else's file, ever

Categories

Every file has a person and a category.

  • Contracts
  • Policies
  • IDs
  • Tax forms
  • Certifications
  • Licenses

On every document

The facts an auditor asks for.

  • Person
  • Category
  • Signed date
  • Expiry date
  • Version
  • Who filed it
  • Who can see it

Reminders

To the person and to HR, before it lapses.

  • 30 days before
  • 14 days before
  • 1 day before
  • When it expires

Moments in Documents

Filed, signed, and never expired.

One person's file, a policy sent for signature, expiry on a timeline, versions, who can see what, and a report for the auditor.

Filed by person and category

Open a person and see their contract, policies, IDs, tax forms, and certifications, each with its status. Nothing to hunt for.

Sent for signature

Send a policy to a location and watch the count climb. Remind the ones who have not signed. Every signature carries a date and a version.

Expiry on a timeline

Licenses and certificates on the next 90 days, with reminders to the person and to HR at 30, 14, and 1 days before.

Versions

Upload a new version of a policy and everyone is asked to sign again. The old versions and their signatures are kept.

Who can see what

Employees see their own file. Managers see their team's licenses and certifications. HR sees everything. Nobody sees a coworker's contract.

Ready for an audit

Pick a certification and see who is valid, expiring, expired, or missing it. Export it as a PDF with names and dates.

Documents questions.

Can employees upload their own documents?

Employees can view documents filed to their profile. Who can add documents is set by role.

Can we get documents signed in the app?

Yes. Send a policy or contract to a person, a team, or a location. They read and sign on the phone, and a signed copy with the date is filed to them.

What happens when a policy changes?

Upload it as a new version. Everyone it applies to is asked to sign again, and the old version with its signatures is kept, so you can show who had signed what on any date.

Who gets the expiry reminders?

The person and HR, 30, 14, and 1 days before, and again when it expires. Managers see the status of licenses and certifications on their own team.

Can we prove who signed what for an audit?

Yes. A signing report shows who signed which version and when, and any person's file can be exported as a PDF.
