Change history

Every substantive change to our legal documents, newest first, with what the text said before. Typo fixes and formatting are not listed.

  1. Security Overview

Single sign-on is now available on the Enterprise plan. The Security Overview says how it works and what it does not cover yet.

Added · Security Overview, Signing in and sessions

On the Enterprise plan, a workspace can sign its people in through its own identity provider over SAML or OpenID Connect, after proving its email domains with a DNS record. It can require single sign-on, so that a session from anywhere else reads nothing; the workspace owner keeps a password in case the identity provider is down.

Changed · Security Overview, What we do not have yet

Before: Single sign-on (SAML or OIDC) is planned for enterprise plans and not built yet.

Now: Single sign-on does not yet include SCIM provisioning or mapping identity provider groups to roles, and the iPhone app does not offer it yet.

  2. AI Transparency, Privacy, and Notice for Employees

Team Chat can now translate messages into the language each reader picks. The AI Transparency page, the Privacy Policy, and the Notice for Employees say what is sent to the model, which model, and what is kept.

Added · AI Transparency, What the AI features do, The models, What each request carries, What is kept

Chat translation shows Team Chat messages in the language each reader picks, with the original a tap away, using Gemini 2.5 Flash-Lite on Google Cloud Vertex AI in us-central1. It sends the text of a message and the languages its readers picked, and keeps each translation with its message for as long as the message is kept.

    Added · Privacy § 6, AI features

When someone in a chat has picked a language, the text of each message there is sent to be translated, and the translations are kept with the message.

Added · Notice for Employees, What your employer can see

When someone in a chat has picked a language to read in, your messages there are translated by AI for them, and the translation is kept with your message. Anyone can see the original, and you can pick your own language with the translate button in Team Chat.

  3. AI Transparency, Terms, Privacy, and Notice for Employees

AI Agent became AI Automations, workflows that run steps on their own once a workspace publishes them, and Company Bot can now do everyday tasks for the person asking once they confirm. The AI pages, the Terms, the Privacy Policy, and the Notice for Employees now say what runs on its own, what still asks a person first, and who is responsible. The Trademark page no longer lists AI Agent.

Changed · AI Transparency, What runs on its own, and where a person decides

Before: Ask AI changes nothing until the person asking approves its plan. Company Bot only answers. To do something, it points you to the screen where you do it yourself. Two things run without a fresh approval, and only if an admin switches them on: a routine whose steps are all of kinds the admin set to run on their own, and finding cover when approved sick time opens a shift.

Now: AI Automations run on their own once someone with permission publishes them, with the permissions of the person who published them. Steps that approve time off or timesheets, decide timecard changes, publish a schedule, remove a shift, change certifications, or invite people ask a person first unless an admin changes that. Company Bot does a task only after you tap Confirm, with your own permissions. Ask AI still changes nothing until its plan is approved.

Added · AI Transparency, What the models see and What is kept

An automation step that uses AI sends the model the words written for the step and the facts of its run; other steps send nothing to a model. Each automation run keeps a record of every step for the workspace's managers. Company Bot keeps a record of each task you confirm, visible to you and your managers.

    Changed · Terms, AI features

Before: Ask AI does work in other tools only after the person asking approves its plan, and each step runs with that person's own permissions. An admin may set some kinds of steps to run without asking, and you are responsible for those settings.

Now: Ask AI acts only after its plan is approved and Company Bot only after the person asking confirms. AI Automations run on their own once published, with the publisher's permissions. You are responsible for the automations your workspace publishes, the settings that let steps run without asking, what they send and to whom (including emails and webhooks), and any consent the law requires before an automation emails someone.

Changed · Privacy Policy § 6, AI features

Before: A person approves what Ask AI does, except steps an admin has set to run on their own.

Now: A person approves what Ask AI does. Company Bot keeps a record of each task you confirm. AI Automations run steps on their own once your employer publishes them, and can send workspace information to another system your employer chooses (a webhook); each run keeps a record of every step.

Changed · Notice for Employees, What the Service never does

Before: It does not make decisions about your job on its own. AI features suggest; a person decides.

Now: It does not hire, fire, discipline, rate, or set the pay of anyone. AI features suggest; a person decides. Your employer can set up automations that run on their own when something happens; your employer chooses what they do.

Added · Notice for Employees, Messages and steps that run on their own

Your employer's automations can send you chat messages, notifications, and emails at your work address, and can take steps about your work using the access of the person who set them up. Company Bot acts for you only when you ask and tap Confirm.

Removed · Trademark and Brand Guidelines, Our marks

AI Agent is no longer listed as one of our marks.

  4. Terms of Service

The Terms were rewritten in full and now name the company that provides the Service. They add a binding arbitration clause with a 30-day opt out, Arkansas governing law, and sections on AI features, connected services, email and social sending, regulated data, and what happens to data when a workspace closes. The age limit stays at 16.

    Changed · Terms § 1, The agreement

Before: These terms are an agreement between you and Vantage Workforce. By creating an account or using the service, you agree to them.

Now: These Terms of Service are an agreement between you and Vantage Enterprises, LLC ("Vantage"). They cover Vantage Workforce: the website at vantagewfm.com, the app at app.vantagewfm.com, and our phone apps when they are released.

Added · Terms § 19, Resolving disputes: arbitration and class action waiver

Disputes not resolved informally within sixty (60) days go to binding individual arbitration administered by JAMS under its Streamlined Arbitration Rules, seated in Craighead County, Arkansas, with a class action waiver. You may opt out within thirty (30) days of first accepting the Terms by writing to [email protected].

Added · Terms § 20, Governing law and venue

The Terms are governed by the laws of the State of Arkansas. Claims that are not arbitrated go to the state and federal courts in Craighead County, Arkansas.

Changed · Terms § 17, Limits on liability

Before: Our total liability for any claim relating to the service is limited to the amount you paid us in the twelve months before the claim arose.

Now: Our total liability for all claims is limited to the greater of (a) the fees you paid us in the twelve (12) months before the event that gave rise to the claim, or (b) one hundred U.S. dollars ($100).

    Added · Terms § 8, AI features; § 10, Connected services; § 11, Email and social posting; § 12, Regulated data

New sections on reviewing AI output and keeping a person in significant decisions, on services a workspace connects, on the customer's duties as the sender of email and social posts, and on not storing HIPAA protected health information or full card numbers.

Added · Terms § 15, Your data when a workspace closes

After a workspace is closed, we delete its Customer Data within 90 days, except what the law requires us to keep.

Added · Terms § 22, Changes to the Service and to prices

A price increase applies from the first billing period that starts at least thirty (30) days after we tell the owner.

  5. Privacy Policy

The Privacy Policy was rewritten in full. It explains our two roles (acting for your employer, and on our own behalf), exactly when location is saved, which AI models process requests and what is kept, set retention periods, your rights, California disclosures, and where data is stored.

Changed · Privacy § 1, Who this policy covers, and our role

Before: This policy applies to people who visit our website and to people who use the Vantage Workforce apps on the web, iPhone, and Android.

Now: This policy explains how Vantage Enterprises, LLC handles personal information in Vantage Workforce: on our website at vantagewfm.com, in the app at app.vantagewfm.com, and in our phone apps when they are released.

    Added · Privacy § 4, Location

Location is saved only with a clock-in, clock-out, or site transfer, and with a form or task that asks for a location stamp. It is read while the clock screen is open but not tracked between punches or in the background.

    Added · Privacy § 6, AI features

AI requests are processed by Google's Gemini models through Google Cloud's Vertex AI in the United States and are not used to train Google's models. Company Bot keeps only the questions it could not answer; AI Agent keeps a record of each request and step.

Changed · Privacy § 10, How long we keep information

Before: When a workspace is closed, we delete or anonymize its information within a reasonable period, unless we are required to keep it longer by law.

Now: When a workspace closes, we delete its data within 90 days, except what the law requires us to keep. Notifications are deleted after 60 days, security audit logs are kept for 400 days, and chat follows the workspace's own retention setting.

    Added · Privacy § 12 to § 14

California disclosures (we do not sell or share personal information), rights in the EU, UK, and Switzerland, and storage in the United States (Google Cloud us-central1) with Standard Contractual Clauses for transfers.
